Ping
Ping is a quiet way for the office to pass work to one another inside the CRM. Instead of an email that lands in Gmail and has to be sorted, a ping lives on the person’s record and shows up in the sidebar with a red dot until it’s handled.
How to send one
Section titled “How to send one”On any person’s record, click Ping someone about this person. A small form opens:
- To — a teammate.
- Subject — one short line.
- Note — a sentence or two of context, optional.
The ping lands on the recipient’s Received tab with a link that takes them straight back to the person it is about.
The screen
Section titled “The screen”Two tabs across the top: Received and Sent. Two more across the right: Open and All. The default view is Received, Open — the pings that are waiting on you.
Each ping shows the sender’s avatar and name, the subject, the note (if any), a link to the record it refers to, and three actions:
- Acknowledge — “Seen it, I’ll handle it.” The sidebar’s red dot clears.
- Mark complete — done.
- Dismiss — nothing I can do; closed without action.
The sender sees the status change on their Sent tab.
When to use it
Section titled “When to use it”- A thread in the Inbox that needs a second opinion from the admissions reader.
- A note on a prospect you can’t reach yourself.
- A reminder on a student to the mentor who knows them best.
- Any time you would otherwise send a direct email that is really about one specific record.
The point is that the context travels with the ping. The recipient doesn’t have to go hunting.
